IMPORTANT UPDATE
Webflow will be deprecating the legacy content editor by the end of 2025 and is replacing it with "client seats" in the designer. It's not known yet what the new "client seat" invite process will look like, but it will likely be very similar to the current editor invite.

Building great sites is more fun with friends. But how exactly does that work in Webflow?

Here we're focusing on features available in Webflow's plans below Enterprise, but if you need advanced capabilities for your team Enterprise supports additional features like advanced roles & permission, publishing controls, and concurrent designer access. Check them out if that's your jam.

Two entirely ways to invite

Don’t confuse workspace guests with site content editors, the terms are confusing but they're very different things.

Content Editors ( aka Collaborators )

Site Collaborators-

  • have access to a specific website, to the WYSIWYG editor only (?edit), not the designer.
  • are invited to a specific site, under site settings in the dashboard
  • can only be invited to published sites with a hosting plan
  • have zero design control, only content editing
  • inviting Collaborators is a function of the site plan and has nothing to do with the workspace

Who can you invite?

  • Anyone with an email address
    • Collaborators do not need Webflow accounts, they are just invited by email
  • Limited to 3, on the CMS plan ( 1 for Basic, I think )

How do you invite Editors?

  • Choose the site you want to invite Content Editors to
  • Make sure it has a hosting plan
  • Go to the site settings dashboard
  • Invite your Content Editors by email
    • You can specify whether or not they have publish permission

Workspace Guests ( aka. Agency / Freelancer Guests )

Officially known as the Agency or Freelancer guest role.

Workspace Guests-

  • have access to your entire workspace ( recently updated, so that you can restrict what sites that you invite guests to IF you have an Agency or Core workspace (?) check that.
  • have full designer access
  • invites are a function of the Workspace, not the site
  • the inviting workspace does not need to be on a paid plan, or to have any paid/hosted sites, unless they want to restrict which sites a guest has access to ( as noted above ).

Who can you invite?

  • Anyone who has a Webflow account that is on a Freelancer or Agency workspace plan
  • The number of guests you can invite depends on your Workspace plan
    • IIRC it's about 2 guests typically
